Information we collect
Your ChatGPT identity and email, join-application name, optional WhatsApp number, approval status, league profile, team membership, run submissions, review decisions, scores and notification preferences. A run submission includes your screenshot, activity date and time, distance, duration, optional elevation, tracking-app name, notes and detected text.
Screenshot reading
Text recognition runs in your browser, using reader assets served by the League. It does not call Strava, Garmin or a paid AI service. Preview reading stays on your device. When you submit a run, its screenshot, detected text and confirmed details are sent to the League for admin review and scoring.
Who can see your evidence
Your screenshot and detailed submission are accessible to you and authorised league administrators. Teammates see league scores and the permitted roster, not your screenshot. Please avoid screenshots showing maps, addresses or unrelated sensitive information.
Storage and use
We use Sign in with ChatGPT and ChatGPT Sites database and file storage. Screenshots are stored privately, with server-side access checks. Application details are visible to league administrators and used to approve the final participant list and coordinate the league. Run data is used to check challenge eligibility, prevent duplicate submissions, calculate scores, communicate review outcomes and resolve disputes. It is not sold or used by 56 Run Club to train AI models.
Tracking app integrations
Direct Strava API connection and automatic activity import are retired. The League does not need access to your tracking account. Deleting a run in your tracking app does not delete a screenshot already submitted to the League; contact us to correct or remove it. You can also revoke any old League permission from that app’s own settings.
Access, correction and deletion
Email 56runclub@gmail.com from your league email to request access, correction, export or deletion, including any legacy imported data. Requests are handled promptly and no later than 30 days unless applicable law requires otherwise. Removing approved evidence may change the relevant league score. Records are retained only as needed to operate the league, resolve disputes and meet applicable obligations.
